How Syntex AI collects, uses, and protects personal information.

What this covers
This policy applies to https://syntexai.ca and to the services Syntex AI provides to contracting businesses. It explains what personal information we collect, why, who we share it with, and what you can ask us to do about it.
Information we collect
Information you give us. When you submit a form, request an audit, or book a call, we collect what you type: your name, business name, email address, phone number, website, city, trade, and anything you write in a message field.
Information collected automatically. Standard web analytics — pages viewed, approximate location derived from IP address, device and browser type, and how you arrived at the site. This is collected through Google Analytics 4 and, where advertising is running, the Meta Pixel and Google Ads tags.
Call and conversation records. If you call us, or interact with our AI agent by phone or text, that conversation may be recorded and transcribed. Where recording requires notice or consent, notice is given at the start of the call.
Why we use it
- To reply to you and deliver anything you asked for, such as a free audit
- To provide and operate services you have engaged us for
- To understand how the site is used and improve it
- To measure advertising performance
- To meet legal, tax, and record-keeping obligations
We do not sell personal information, and we do not share your contact details with other contractors.
Who we share it with
Service providers who process data on our behalf, under contract: hosting and infrastructure, email delivery, CRM, analytics, advertising platforms, telephony and AI conversation providers, and scheduling tools. Each of them receives only what they need for their function.
We may also disclose information where required by law, or in connection with a business sale or reorganisation.
Where it goes
We operate in Canada and the United States, and some providers store or process data in the United States or elsewhere. That means information may be subject to the laws of another country, including lawful access requests by authorities there.
How long we keep it
Enquiries are retained while there is an active conversation and for a reasonable period after, so we can respond to follow-ups. Client records are retained for the duration of the engagement and for as long as legal and tax obligations require. You can ask us to delete your information at any time.
Your rights
Under Canadian privacy law (PIPEDA) and applicable US state privacy laws, you can ask to access the personal information we hold about you, correct it, ask us to delete it, withdraw consent to marketing communications, or complain to a regulator.

Cookies and tracking
The site uses cookies for analytics and, where advertising is running, for conversion measurement and remarketing. You can block or delete cookies through your browser settings; core parts of the site will still work.
Children
This site is for businesses. We do not knowingly collect personal information from anyone under 18.
Changes
If we change this policy materially we will update the date above and, where the change is significant, tell you directly.
